1. Proposals and Confirmations
All proposals and service bookings are subject to availability and confirmation by Orchid Inn. Clients should review event details, dates, guest counts, service scope, and pricing carefully before confirming. We reserve the right to decline, modify, or cancel requests where required for operational, legal, or safety reasons.
2. Rates, Charges, and Payment
Quoted pricing may be shown per guest, per service package, per staffing structure, or per event scope, and may exclude applicable taxes, municipal fees, transport fees, service charges, or venue-specific costs unless stated otherwise. Payment may be required in full or in part at the time of confirmation depending on the selected service model.
- We may request a deposit or advance payment prior to production or service dates.
- Additional charges incurred through guest-count changes, added service hours, transport, rentals, or client-approved upgrades must be settled according to the final invoice.
- All pricing is subject to correction in the event of a genuine error.
3. Event Timing and Service Windows
Service times, production windows, setup access, and event completion timelines are agreed during confirmation. Changes to access times, service duration, venue rules, or production schedules may affect staffing, logistics, and final pricing.
4. Cancellation and Date Changes
Cancellation terms vary according to the service type, production lead time, event scale, staffing commitments, and sourcing already undertaken. Date-change or cancellation fees may apply once a booking has been confirmed and work has commenced.
- Non-refundable deposits or committed procurement costs are charged according to the agreed proposal terms.
- Late cancellation or same-day cancellation may result in partial or full service charges.
- Refund timing depends on the payment provider and banking institution.
5. Client Responsibilities and Venue Conditions
Clients are responsible for sharing accurate event details, venue access conditions, service expectations, dietary restrictions, and relevant permissions. Orchid Inn may suspend or withdraw service where there is abusive conduct, unlawful activity, unsafe working conditions, or material misrepresentation affecting delivery.
6. Damage, Loss, and Liability
Clients may be held responsible for loss, breakage, damage, extraordinary cleaning, misuse of rental items, or venue charges arising from the event, its guests, or site conditions under the client’s control. Orchid Inn is not responsible for loss or damage to valuables unless formally accepted in writing under applicable law.
7. Third-Party Services
Certain logistics, rental items, transport arrangements, specialist décor, or event-related services may be provided by third parties. Where this applies, Orchid Inn may act as a coordinator only and is not liable for the acts, omissions, delays, or service quality of third-party providers, except where required by law.
8. Website Use
The Orchid Inn website content is provided for general information and enquiry convenience. We may change content, imagery, pricing, descriptions, and service details without prior notice. Unauthorised copying, misuse, automated scraping, or interference with the website is prohibited.
9. Privacy and Personal Information
Your use of our services is also governed by our privacy practices. Personal information may be collected and processed to manage proposals, client communication, payment handling, event planning, and service delivery. Where a separate privacy policy is published, it should be read together with these terms.

Orchid Inn may update these terms from time to time. The most current version published on our website will apply from its stated effective date.
11. Governing Law
These terms are governed by the laws applicable in the Kingdom of Saudi Arabia. Any dispute arising in connection with these terms or the use of our services will be handled under the applicable legal framework and competent jurisdiction.
